How each user manages identity, security, preferences, and notification behavior

My Profile is the personal control center for a user's account in Scale B.O.S.S. It consolidates identity, security, alert behavior, and communication preferences so the platform can route work, reminders, and collaboration to the right person in the right way.

Why My Profile matters

A well-managed profile does more than keep an account tidy — it improves operational reliability across the platform. Scale B.O.S.S. routes assignments, reminders, approvals, messages, and accountability through individual people. Inaccurate profile data, weak password hygiene, or poorly tuned alert settings make the user experience noisy, confusing, or easy to miss.

Assignments land on the right person and appear credible when others open the record.
Users are less likely to miss charter assignments, evaluation approvals, goal deadlines, or message threads.
Users control how much or how little the platform interrupts them throughout the day.
Strong password hygiene protects the account and simplifies long-term maintenance.
Accurate organization context benefits users who work across multiple organizations.

How users access My Profile

Open the account menu by clicking the avatar in the top-right corner of the application. This menu is the entry point for profile, settings, and account-level controls.

Organization switching

The organization list in the account menu is especially important for users who belong to more than one organization. It shows the currently active organization and can display a favorited or starred organization. Users should confirm their active organization before working on charters, dashboards, evaluations, or messages to avoid creating or reviewing work in the wrong context.

The My Profile page

The My Profile page is the structured home for personal account data, combining identity, contact information, password controls, and top-level preference settings on one screen.

Profile header card

The profile header provides a quick summary of how Scale B.O.S.S. currently identifies the user — including profile photo, name, email, role badge, title, hire date, department, and business unit. It is the fastest place to verify that the platform is representing the user correctly.

Profile photo	Helps users recognize the account visually and supports a more human collaboration experience.
Name and email	Displays the primary identity tied to the account.
Role or badge	Clarifies broad access context, such as Strategy Team membership.
Title, departments, business units	Shows how the person is positioned within the organization.
Hire date	Provides employment context where relevant.

General Information

The General Information card captures personal identity fields: first name, last name, job title, birthday, and gender. Names should reflect how the person is known in the business, and titles should be immediately recognizable to other users.

Contact Information

The Contact Information card stores email, phone, and address details. Some fields — such as email — may be administrator-controlled rather than directly editable by the user, which is appropriate since email often serves as the primary login or account key.

Security

The Security card lets the user update their password. Password maintenance should be routine, not reactive. Strong password hygiene keeps the account trustworthy and reduces the risk of exposing work, conversations, or assignments through avoidable access issues.

Preferences

The profile page also includes a lightweight preference control — the Daily digest email toggle — giving users a quick way to opt in or out of a recurring email summary of pending notifications without navigating to the full settings page.

Good profile discipline
Review identity fields periodically. Keep titles and contact details current. Make deliberate choices about digest and alert behavior.

Weak profile discipline
Leave outdated data in place. Forget which organization is active. Neglect password hygiene. Mute alerts without establishing another review habit.

Settings: Alerts, Messaging, and Support Behavior

The Settings page extends beyond the core profile screen, letting users shape how Scale B.O.S.S. communicates with them day to day.

What the Alerts & Messaging section controls

Quiet hours	Mutes alerts during selected hours, with start time, end time, and timezone.
Notification sound	Controls whether the app plays a sound for new messages.
Desktop notifications	Enables browser-level notifications when permitted by site or browser settings.
Smart reply suggestions	Turns AI-generated quick replies on or off.
Message previews	Controls whether notification previews display message content.
Email digest frequency	Sets how often the user receives email summaries.
Auto-archive conversations	Defines when read conversations are archived after inactivity.
Online status / typing indicator	Controls presence signals in messaging.

These are not cosmetic toggles. Together, they determine whether the platform feels focused, responsive, noisy, or easy to ignore.

Quiet hours protect deep work and after-hours time without deleting underlying history.
Desktop notifications and sound suit rapid-response roles but should be configured carefully to avoid interruption fatigue.
Message previews and smart reply suggestions control how much context the user sees before opening a conversation.
Email digest and auto-archive settings improve long-term hygiene and reduce inbox clutter.
Online status and typing indicators make conversations feel immediate but also affect visibility and privacy.

Support Preferences

The Settings page also includes support-specific controls such as Support notifications and Email alerts for ticket updates. Keeping these separate from general work alerts ensures support communications are not lost in everyday chatter. Users who rely on platform support should generally leave these enabled.

Notification Preferences

Notification Preferences are the most granular layer of personal alert control, determining which events the user receives in-app and, in some cases, through digest or reminder behavior.

Note that the organization may disable certain notification types, meaning personal preferences operate within broader organizational policy rather than overriding it.

How notification categories map to real work

Work assignment alerts	Includes Action Item Assigned, Charter Assigned, Weakness Assigned, and BE Development Assigned. Ensures users know when work has been assigned to them.
Due-date reminders	Includes Action Item Due Reminder, Goal Deadline Reminder, Team Member Evaluation Due, KPI Update Reminder, and Wizard Deadline.
CFO workflow alerts	Includes CFO Approved, CFO Pending Approval, CFO Rejected, CFO Publish Reminder, and Monthly CFO Review.
Evaluation workflow alerts	Includes Evaluation Phase Assigned, EVAL_PENDING_APPROVAL, EVAL_APPROVED, EVAL_REJECTED, Evaluation Published, and TM Rating Change.
Goal workflow alerts	Includes GOAL_APPROVED, GOAL_PENDING_APPROVAL, and GOAL_REJECTED.
Business Essentials workflow alerts	Includes BE Document Requested.
Messaging and summaries	Includes Message Summary and Daily Digest.
Operating rhythm reminders	Includes Meeting Reminder, Strategy Meeting Scheduling, MONTHLY_BOARD_REVIEW, QUARTERLY_CHARTER_REVIEW, and IDEA_REVIEW_REMINDER.

How to configure notifications intelligently

The goal is not to enable or disable everything — it is to make the right signals loud enough to matter.

Keep assignment alerts on.
Keep approval and rejection alerts on for workflows the user participates in.
Keep deadline reminders on for time-sensitive work.
Use digest and summary settings to reduce unnecessary checking.
Tune recurring meeting and reminder categories to match the user's role.

A poor setup typically falls into one of two extremes: everything is off and the user develops blind spots, or everything is on and the user becomes numb to the signal.

How My Profile affects the rest of Scale B.O.S.S.

Messages	Identity, previews, online status, and typing indicators shape how collaboration feels in real time.
Notifications	Personal preferences determine whether important work is visible, digestible, and timely.
Charters, CFOs, goals, evaluations	These workflows depend on named individuals. Profile quality directly affects how clearly assignments, approvals, and reminders are delivered.
Organization context	Users in multiple organizations rely on the profile menu to keep work in the correct environment.
Personal user experience	Theme, sidebar behavior, quiet hours, previews, and digests determine whether the platform feels sustainable to use every day.

What users should review regularly

Monthly

Confirm the active organization is the one you work in most often.
Review unread or missed-alert patterns.
Verify that digest behavior still feels useful.

Quarterly

Confirm that title, departments, and business-unit context are still accurate.
Review notification categories for relevance.
Check support and messaging behavior.

Whenever role or workload changes

Revisit quiet hours.
Revisit approval and assignment alerts.
Revisit daily digest settings.
Update phone or other contact information as needed.

Common mistakes to avoid

Working in the wrong organization because the active context was never verified.
Ignoring administrator-controlled profile fields that have become outdated.
Treating password changes as an afterthought.
Disabling too many alerts and missing real work as a result.
Leaving every notification enabled and gradually tuning the system out.
Never revisiting profile settings after responsibilities change.
